Who we are

This policy explains how Mix Labs UK Ltd (company number 11435162, Goshen Farm, Brenchley Road, Matfield, Kent, TN12 7DT) uses personal information collected through our trade website and in running trade accounts. We are the controller of this information under UK data protection law. For any privacy question or request, email [email protected] or call 01892 481101.

Our retail website, www.mixlabs.co.uk, has its own privacy policy.

What we collect

  • Trade account applications: your name, email address, phone number, business name, trading address, company number, VAT number, website and anything you add in the message box.
  • Your account: sign-in details, delivery and billing addresses, account preferences and your account's trade pricing.
  • Orders: what you order, invoices, payment references and records of bank transfers you make to us, delivery details and tracking.
  • Communications: messages you send us through the contact form, by email or by phone, and your newsletter preferences.
  • Website use: technical information such as your IP address, browser and device type, and the pages you visit, collected through cookies and server logs.

We do not collect or store card details: orders on this website are paid by bank transfer.

How we use it, and our lawful basis

  • To review applications and run your trade account, including checking that your business is genuine: to take steps at your request before entering a contract, and our legitimate interest in only supplying age-restricted products to genuine businesses.
  • To process, deliver and invoice your orders and handle returns: to perform our contract with you.
  • To keep accounting and tax records and meet other legal duties: legal obligation.
  • To answer your enquiries and provide account management: legitimate interests and contract.
  • To send you trade offers and news by email: legitimate interests in marketing to business customers, or your consent where the law requires it. You can unsubscribe at any time using the link in every email.
  • To keep the website secure, prevent fraud and improve the site: legitimate interests.

Who we share it with

We never sell your information. We share it only where needed with:

  • the provider that hosts and runs this website and its email services;
  • our couriers (DPD, DX and DHL) to deliver your orders;
  • our bank, accountants and professional advisers;
  • HMRC, trading standards, the police or other authorities where the law requires it.

These organisations may only use your information for the service they provide to us. Where any of them process information outside the UK, we make sure appropriate safeguards are in place, such as UK-approved contract terms.

How long we keep it

  • Order, invoice and payment records: 6 years from the end of the financial year they relate to, as required for tax purposes.
  • Trade account details: while your account is open, and for up to 2 years after your last order or after the account is closed.
  • Applications we do not approve: up to 12 months.
  • Marketing preferences: until you unsubscribe, after which we keep a record so we do not email you again.

Cookies

We use essential cookies to keep you signed in, remember your basket and keep the website secure; the website cannot work without them. If we use analytics or marketing cookies, we will only set them with your consent, and you can change your choice at any time. You can also block or delete cookies in your browser settings.

Your rights

You have the right to ask for a copy of your personal information, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent where we rely on it. Email [email protected] and we will respond within one month. Some information, such as invoices, must be kept by law even if you ask us to delete it.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
